Assign a real owner

Name one person who knows why the software exists and who will make the renewal decision. Record the vendor, account owner, amount, billing cycle, and renewal date. A list without ownership quickly becomes another spreadsheet nobody maintains.

Track the decision deadline

Read the actual contract for cancellation notice requirements. A vendor may require a decision well before the charge date. Enter the number of lead days and check that the calculated decision date matches the contract. Renewra's date is a planning aid, not a legal interpretation.

Review usage and overlapping tools

Ask the owner whether the team still uses the service. Check license seats directly in the vendor portal. Two tools in the same category may complement each other, so category overlap alone is not waste. Document the business reason before retiring a tool.

Check pricing and alternatives

Compare the renewal amount with your previous cost, including seat changes, discounts, tax, and contract scope. Request a written quote where needed. Evaluate alternatives on migration effort, security requirements, and the cost of retraining—not price alone.

Make and record the decision

Keep, downgrade, renegotiate, or cancel through the provider. Record confirmation and export a backup. Account sync, team permissions, automatic alerts, and paid membership checkout are not active in this preview; do not treat the local workspace as a shared system of record.
