Prepare a concise factual packet and question list so a conversation starts with records, not guesses or promises.

Prepare facts that another person can locate
A lender or counterparty conversation is more productive when the person initiating it can point to a current statement, agreement, payment history, cash plan, and a short explanation of what changed. The goal is not to perform a negotiation script or to promise an outcome. It is to make the situation legible. Create a one-page cover summary with the obligation label, requested topic, relevant due date, current document date, and a list of attachments. Keep sensitive records private and share only through channels you trust and are authorized to use. Never send passwords, full account credentials, or identity documents merely because an unexpected caller asks for them.
Separate verified facts from forecasts and from questions. A verified fact is something that appears in a dated record, such as the next payment shown on a statement. A forecast is an assumption in a cash plan, such as expected collection on a stated date. A question asks for the other party’s explanation, process, or available documentation. That separation reduces the temptation to overstate certainty. SBA states that borrowers apply for 7(a) loans directly through a local lender and work directly with the lender, a reminder that the relationship and any decision remain between the business and its actual counterparty.
Use questions and written follow-up, not unsupported claims
Before a conversation, identify exactly what you need to understand: current amount due, payment calculation, due date, document required for a request, contact channel, or the process for submitting updated information. Ask what the written record says and where to find it. Do not claim a right, deadline, fee waiver, extension, or hardship option unless you have a verified source that applies to the actual agreement and jurisdiction. If a representative describes a material option, ask for the terms, conditions, and any change in writing, then review it before acting. This is documentation hygiene, not individualized creditor negotiation.
Hypothetical mini-example: a business’s weekly plan shows an expected receipt moving from Tuesday to the following Tuesday while a scheduled payment is shown before that receipt. A factual opening could be: "Our current statement dated [date] shows a payment on [date]. Our internal cash plan now shows a documented customer receipt expected on [later date]. Please explain the payment status, available written information, and documents you would need for any request." The hypothetical does not ask the lender to grant anything and does not assume an extension exists. After the call, write the date, contact channel, person’s role if provided, documents requested, and the promised follow-up—not a conclusion you cannot verify.
Assemble a factual conversation packet
- Select one obligation and gather the latest authorized statement, signed agreement or relevant page, payment history, and the current cash-plan excerpt.
- Write a cover summary with only verified dates, amounts, and document titles; label forecasts as forecasts.
- Draft three to five questions about payment mechanics, documents required, process, or where to locate written terms; avoid demanding outcomes you cannot support.
- Choose a legitimate contact channel from an official statement, agreement, or verified website rather than an unexpected message.
- After the conversation, log the date, channel, factual response, requested documents, and follow-up date; save written communications with the underlying records.
